1. Introduction
Piriyathu LLP ("Piriyathu", "we", "our", or "us") operates DentalMate, a cloud-based Software-as-a-Service ("SaaS") platform designed to assist dental clinics in managing appointments, patient records, clinical documentation, billing, communications, prescriptions, and other administrative activities.
Protecting the privacy and confidentiality of personal information is important to us. This Privacy Policy explains how DentalMate collects, uses, stores, processes, secures, and discloses information when authorised users access or use the platform.
DentalMate is intended exclusively for use by authorised dental clinics, healthcare professionals, and their authorised staff. It is not intended for direct use by patients or individuals under eighteen (18) years of age.

In the event of any inconsistency, the applicable agreement governing your relationship with Piriyathu LLP shall prevail to the extent permitted by law.
2. Definitions
For the purposes of this Privacy Policy:
"DentalMate"
means the clinic management platform, websites, applications, APIs, integrations, services, and related software operated by Piriyathu LLP.
"Piriyathu LLP"
means Piriyathu LLP, the owner and operator of DentalMate.
"Clinic"
means a dental clinic, dental practice, hospital department, healthcare organisation, partnership, company, or other entity subscribing to DentalMate.
"Clinic Administrator"
means an individual authorised by a Clinic to manage user accounts, permissions, subscriptions, and administrative settings.
"User"
means any person authorised by a Clinic to access DentalMate, including dentists, specialists, assistants, receptionists, administrators, accountants, interns, and other authorised personnel.
"Patient"
means an individual whose personal or clinical information is entered into DentalMate by or on behalf of a Clinic.
"Personal Information"
means information relating to an identified or identifiable natural person.
Depending on how DentalMate is used, this may include:
- Name
- Mobile number
- Email address
- Postal address
- Date of birth
- Gender
- Photographs
- Identification information
- Device information
- Login information
"Clinical Information"
means information relating to the healthcare or treatment of a Patient, including but not limited to:
- Medical history
- Dental history
- Allergies
- Clinical notes
- Treatment records
- Dental charts
- Diagnoses
- Prescriptions
- Uploaded radiographs
- Uploaded images
- Consent forms
- Clinical documents
"Processing"
means any operation performed on information including collecting, recording, organising, storing, using, modifying, encrypting, transmitting, deleting, or otherwise handling information.
"Applicable Law"
means all applicable privacy, healthcare, information technology, consumer protection, taxation, and other laws and regulations applicable to the use of DentalMate.
3. Scope of this Privacy Policy
This Privacy Policy applies to:
- DentalMate web applications
- login.dentalmate.app
- Future DentalMate mobile applications
- APIs
- Customer support interactions
- Communications relating to DentalMate
- Integrations made available by Piriyathu LLP
This Privacy Policy does not apply to:
- Third-party websites linked from DentalMate
- Third-party services operated independently of Piriyathu LLP
- Information collected directly by Clinics outside DentalMate
- Information processed by third-party payment providers in accordance with their own privacy policies
Third-party services may have their own privacy policies and terms, which should be reviewed separately.
4. Controller and Processor Roles
DentalMate is a platform used by independent dental clinics.
Accordingly:
Clinic Responsibilities
Each Clinic determines:
- which Patients are registered;
- which information is collected;
- which Users have access;
- which permissions are granted;
- how Patient information is used;
- how long records are retained; and
- whether information is corrected or deleted.
For Patient information submitted by a Clinic, the Clinic acts as the data controller (or equivalent role under applicable law).
The Clinic is responsible for ensuring that it has an appropriate legal basis for collecting and processing Patient information, including obtaining any consent required under applicable law.
Piriyathu LLP Responsibilities
Piriyathu LLP acts primarily as a data processor or service provider for Patient information submitted by Clinics.
We process information only to:
- provide DentalMate;
- host and secure the platform;
- authenticate Users;
- provide customer support;
- maintain backups;
- improve platform reliability;
- comply with legal obligations;
- investigate security incidents; or
- carry out other processing authorised by the Clinic or permitted under applicable law.
Nothing in this Privacy Policy transfers responsibility for Patient care, clinical decision-making, or healthcare compliance from the Clinic to Piriyathu LLP.
5. Information We Collect
Depending on how DentalMate is used, we may process the following categories of information.
5.1 Clinic Information
We may collect information relating to Clinics including:
- Clinic name
- Business registration details
- GST information (where applicable)
- Clinic addresses
- Contact numbers
- Subscription details
- Billing information
- Configuration settings
5.2 User Information
We may collect:
- Name
- Email address
- Mobile number
- Profile photograph
- User role
- Login activity
- Device information
- Browser information
- Session information
- Authentication information
Authentication may be performed using Google Sign-In or other authentication providers supported by DentalMate.
5.3 Patient Information
Clinics may choose to store:
- Patient names
- Contact information
- Address
- Age or date of birth
- Gender
- Medical history
- Dental history
- Allergies
- Clinical notes
- Treatment records
- Dental charts
- Prescriptions
- Uploaded X-rays
- Clinical photographs
- Uploaded PDF documents
- Appointment history
- Billing history
- Invoice information
- Payment status
- Follow-up history
- Communication history
The categories of information collected are determined by the Clinic using DentalMate.
5.4 Uploaded Files
Users may upload files including:
- Images
- Radiographs
- PDFs
- Consent documents
- Medical reports
- Other files relevant to clinical operations
Uploaded files remain under the control of the Clinic.
5.5 Technical Information
When Users access DentalMate, we may automatically collect limited technical information including:
- Browser type
- Operating system
- Device identifiers
- IP address
- Time zone
- Language settings
- Access timestamps
- Error logs
- Performance diagnostics
This information helps us operate, secure, and improve DentalMate.
5.6 Audit Logs
DentalMate maintains audit records relating to platform activity.
These records may include:
- User logins
- Failed login attempts
- Record creation
- Record updates
- Record deletions
- Appointment modifications
- Invoice changes
- Administrative actions
- Permission changes
- System events
Audit records help support security, troubleshooting, compliance, and operational integrity.
Audit logs may be retained separately from operational records.
6. How Information is Collected
Information processed through DentalMate may be collected:
- directly from Clinics;
- directly from authorised Users;
- through Google authentication services;
- through integrations enabled by the Clinic;
- through uploaded documents and files;
- automatically through system logs and security monitoring; and
- through communications with Piriyathu LLP.
We do not knowingly collect personal information directly from Patients through DentalMate unless such information is entered by or on behalf of a Clinic.
7. Accuracy of Information
Piriyathu LLP relies on Clinics and authorised Users to ensure that information entered into DentalMate is accurate, complete, and up to date.
Piriyathu LLP does not independently verify the accuracy of clinical records, medical history, prescriptions, diagnoses, treatment information, or other information entered by Clinics.
8. Clinic Responsibilities
Each Clinic is solely responsible for:
- obtaining any patient consents required by applicable law;
- ensuring the accuracy of information entered into DentalMate;
- assigning appropriate user permissions;
- protecting login credentials;
- complying with applicable healthcare and privacy laws;
- responding to requests from Patients relating to their personal information; and
- determining when patient records should be corrected, exported, retained, or deleted.
Nothing in this Privacy Policy transfers these responsibilities from the Clinic to Piriyathu LLP.
9. Purposes of Processing
Piriyathu LLP processes information only to the extent reasonably necessary to provide, maintain, secure, improve, and support DentalMate.
Depending on the nature of the information and the services used by a Clinic, we may process information for one or more of the following purposes.
9.1 Providing the Service
We process information to:
- create and maintain Clinic accounts;
- authenticate authorised Users;
- manage appointments;
- maintain patient records;
- generate invoices and reports;
- manage prescriptions and clinical documentation;
- facilitate communications initiated by the Clinic;
- provide other features available within DentalMate.
9.2 Platform Administration
We process information to:
- administer subscriptions;
- manage licences;
- configure Clinic settings;
- maintain user roles and permissions;
- perform system administration;
- operate customer support services.
9.3 Security
Information may be processed to:
- detect suspicious activity;
- investigate unauthorised access;
- prevent fraud;
- identify misuse;
- enforce our legal agreements;
- maintain platform integrity;
- respond to security incidents.
9.4 Service Improvement
We may process limited operational and technical information to:
- identify software defects;
- improve performance;
- optimise reliability;
- monitor availability;
- improve usability;
- develop new platform capabilities.
Where reasonably possible, improvement activities rely on aggregated, statistical, pseudonymised or de-identified information rather than directly identifiable Patient Information.
9.5 Legal Compliance
Information may be processed where reasonably necessary to:
- comply with applicable laws;
- satisfy regulatory obligations;
- comply with court orders;
- respond to lawful government requests;
- protect legal rights;
- establish, exercise or defend legal claims.
10. Legal Basis for Processing
Depending on the circumstances and applicable law, Piriyathu LLP processes information based upon one or more of the following legal grounds.
Performance of our Agreement
Processing necessary to provide DentalMate under the applicable subscription agreement.
Compliance with Legal Obligations
Processing necessary to comply with applicable laws, regulations, court orders, governmental directions or other legal requirements.
Legitimate Business Interests
Processing reasonably necessary for:
- maintaining platform security;
- preventing fraud;
- improving platform reliability;
- maintaining audit records;
- troubleshooting;
- customer support;
- enforcing contractual rights.
Where applicable, these interests are balanced against the rights and freedoms of affected individuals.
Instructions from the Clinic
For Patient Information submitted by a Clinic, Piriyathu LLP generally processes such information based upon documented instructions provided by the Clinic acting in its capacity as the data controller.
11. Artificial Intelligence
Piriyathu LLP recognises that healthcare information requires a high level of protection.
Accordingly:
- Patient Information is not used to train general-purpose artificial intelligence models.
- Customer Information is not sold for AI training.
- We do not use Patient Information to improve unrelated AI products.
If DentalMate introduces AI-powered functionality in the future:
- such functionality will be optional where reasonably practicable;
- it will operate only where enabled by the Clinic;
- Clinics remain responsible for determining whether AI-generated outputs are appropriate for clinical use;
- AI-generated content should always be reviewed by qualified healthcare professionals before being relied upon for patient care.
Piriyathu LLP does not guarantee the accuracy, completeness or suitability of AI-generated content.
DentalMate is not intended to replace professional clinical judgement.
12. Cookies and Similar Technologies
DentalMate uses cookies and similar technologies where reasonably necessary to operate the platform.
These technologies may be used for:
- user authentication;
- maintaining secure sessions;
- remembering preferences;
- protecting against fraudulent access;
- measuring platform performance;
- improving reliability.
Where optional analytics technologies are used, additional information may be provided through our Cookie Policy.
Users may configure browser settings to manage cookies; however, disabling certain cookies may affect the functionality of DentalMate.
13. Security Measures
Piriyathu LLP implements administrative, technical and organisational measures designed to protect information processed through DentalMate.
Security measures currently include, where applicable:
- HTTPS/TLS encryption for information in transit;
- AES-256-GCM encryption for sensitive clinical information at the application layer;
- encryption at rest provided by underlying cloud infrastructure where supported;
- role-based access controls;
- secure authentication mechanisms;
- audit logging;
- infrastructure monitoring;
- routine backups;
- periodic security assessments;
- vulnerability remediation processes.
These measures are intended to reduce security risks but cannot eliminate all risks associated with internet-connected systems.
Accordingly, Piriyathu LLP cannot guarantee absolute security.
14. Encryption
Sensitive clinical information stored within DentalMate is encrypted using application-level AES-256-GCM encryption.
Information transmitted between Users and DentalMate is protected using industry-standard TLS encryption.
Underlying cloud infrastructure providers may additionally encrypt stored information at the infrastructure level.
Encryption technologies may change over time as industry practices evolve.
15. Access to Production Systems
Access to production systems is strictly limited.
Production access may be granted only to authorised founders or authorised technical personnel where reasonably necessary for:
- customer support;
- troubleshooting;
- maintenance;
- infrastructure management;
- security investigations;
- software updates;
- legal compliance.
Administrative access is subject to internal controls and, where applicable, recorded through audit logging.
Personnel are expected to access Customer Information only where reasonably necessary to perform authorised duties.
16. Audit Logging
DentalMate maintains audit records designed to support security, accountability and operational integrity.
Audit records may include:
- authentication events;
- login history;
- permission changes;
- patient record modifications;
- appointment changes;
- invoice updates;
- prescription updates;
- administrative actions;
- security events.
Audit records may be retained separately from operational records.
Retention periods for audit records may differ from operational records where reasonably necessary for security, legal or operational purposes.
17. Backups
Piriyathu LLP performs backups as part of normal operational procedures.
Backups are intended to support disaster recovery, operational continuity and restoration following certain incidents.
However:
- backups are not guaranteed to be available in every circumstance;
- recovery cannot be guaranteed in every situation;
- backup frequency and retention may change over time.
Clinics remain responsible for maintaining any copies of reports or exports they require for their own business continuity purposes.
18. Third-Party Service Providers
Piriyathu LLP relies on carefully selected third-party service providers to operate, secure and improve DentalMate.
These providers may process information on our behalf solely for the purposes of delivering the services they have been engaged to perform.
Our current categories of service providers include:
- cloud infrastructure providers;
- content delivery and network security providers;
- authentication providers;
- messaging providers;
- email delivery providers;
- payment service providers;
- infrastructure monitoring providers;
- customer support providers; and
- other operational vendors engaged from time to time.
Examples of providers currently used include:
- Cloudflare
- Infobip
- Brevo
Payment processing services may be provided through one or more third-party payment providers selected by Piriyathu LLP from time to time.
We may replace or add service providers as our services evolve without updating this Privacy Policy each time, provided such providers perform substantially similar services.
Each third-party provider processes information in accordance with its own privacy practices and contractual obligations.
Where reasonably required, Piriyathu LLP enters into contractual arrangements intended to protect information processed by such providers.
19. International Processing
DentalMate operates using modern cloud infrastructure.
Accordingly, information processed through DentalMate may be:
- stored;
- replicated;
- transmitted; or
- processed
across multiple geographic regions depending upon the configuration and availability of our infrastructure providers.
Information is primarily hosted using Cloudflare infrastructure.
Certain operational services including authentication, messaging, diagnostics and infrastructure support may involve processing in jurisdictions outside India.
By using DentalMate, the Clinic acknowledges that information may be processed in multiple jurisdictions as reasonably necessary to operate the platform.
Piriyathu LLP implements reasonable safeguards intended to protect information regardless of where processing occurs.
20. Data Retention
Piriyathu LLP retains information only for as long as reasonably necessary for:
- providing DentalMate;
- complying with legal obligations;
- maintaining backups;
- security monitoring;
- maintaining audit records;
- resolving disputes;
- enforcing legal rights;
- legitimate business operations.
Retention periods vary depending upon the nature of the information and applicable legal requirements.
Operational Records
Operational records generally remain available until:
- deleted by an authorised Clinic User;
- removed in accordance with Clinic instructions;
- deleted following account closure; or
- otherwise removed in accordance with our operational practices.
Audit Records
Audit records may be retained independently of operational records.
Deletion of operational information does not necessarily remove associated audit records where retention is reasonably necessary for:
- security;
- fraud prevention;
- compliance;
- incident investigation;
- legal defence;
- operational integrity.
Backups
Information contained within backups may continue to exist for a reasonable period following deletion from active systems.
Backups are rotated and retired according to operational requirements.
Immediate deletion from backup media cannot be guaranteed.
21. Data Export
DentalMate provides reporting functionality that allows authorised Users to export certain reports directly from the platform.
Where a Clinic wishes to migrate away from DentalMate, the Clinic Administrator may request a data export in writing.
Subject to identity verification, subscription status and operational requirements:
- migration requests are generally processed within ten (10) to fifteen (15) business days;
- exported information may be provided in one or more formats determined by Piriyathu LLP;
- certain system-generated records, security logs or internal operational information may not form part of exported datasets.
Piriyathu LLP reserves the right to verify the authority of any person requesting a data export.
22. Rights Relating to Personal Information
Depending upon applicable law, individuals may have rights relating to Personal Information.
Such rights may include:
- requesting access;
- requesting correction;
- requesting restriction of processing;
- requesting deletion;
- objecting to certain processing activities;
- requesting portability where applicable.
Because Piriyathu LLP primarily acts as a processor for Patient Information, requests relating to Patient Information should generally be directed to the relevant Clinic.
Where reasonably appropriate, Piriyathu LLP may assist Clinics in responding to such requests.
Nothing in this Privacy Policy requires Piriyathu LLP to comply with requests that:
- conflict with applicable law;
- compromise platform security;
- interfere with legal obligations;
- adversely affect the rights of others;
- are technically infeasible; or
- relate to information that Piriyathu LLP is legally required to retain.
23. Children's Information
DentalMate is designed for use by authorised dental clinics and healthcare professionals.
It is not intended for direct use by individuals under eighteen (18) years of age.
Information relating to minors processed through DentalMate is submitted by authorised Clinics as part of providing healthcare services.
Piriyathu LLP does not knowingly collect information directly from children.
Clinics remain responsible for ensuring they possess all authorisations and legal permissions required to process information relating to minors.
24. Marketing Communications
Piriyathu LLP may communicate with Clinics regarding:
- account administration;
- billing;
- security notifications;
- maintenance;
- product updates;
- operational announcements.
These communications form part of operating DentalMate.
Piriyathu LLP does not send marketing communications directly to Patients.
Where promotional communications are sent to Clinics, recipients may unsubscribe where applicable.
25. Security Incident Response
Although Piriyathu LLP implements reasonable safeguards, no internet-connected service can eliminate all security risks.
If we become aware of a security incident affecting information processed through DentalMate, we will:
- investigate the incident;
- take reasonable steps to contain or mitigate its effects;
- restore services where reasonably practicable;
- notify affected Clinics where required by applicable law or contractual obligations.
The timing and content of any notification may depend upon:
- applicable law;
- law enforcement requirements;
- technical considerations;
- operational circumstances.
Notification of a security incident does not constitute an admission of fault or liability.
26. Legal Disclosures
Piriyathu LLP may disclose information where reasonably necessary to:
- comply with applicable law;
- comply with court orders;
- respond to lawful governmental requests;
- protect life or safety;
- investigate suspected unlawful activity;
- enforce contractual rights;
- protect Piriyathu LLP, Clinics, Users or others.
Where legally permitted and reasonably practicable, we may notify the affected Clinic before disclosing information.
27. Business Changes
Piriyathu LLP may, from time to time, restructure its operations, acquire assets, dispose of assets, merge business operations, or reorganise parts of its business.
Where reasonably necessary as part of such transactions, information processed through DentalMate may be transferred to a successor entity or service provider, subject to appropriate confidentiality obligations and applicable law.
Any successor operating DentalMate will continue to process information in accordance with substantially similar privacy commitments unless otherwise required by law.
Nothing in this section shall be interpreted as permitting the sale of Patient Information as a commercial asset independent of the operation of DentalMate.
28. Regulatory Compliance
DentalMate is intended to assist Clinics with practice management, scheduling, billing, communications and clinical record administration.
Unless expressly stated otherwise, DentalMate is not represented, certified or marketed as:
- a medical device;
- a diagnostic system;
- an autonomous clinical decision-making system;
- a substitute for professional healthcare judgement; or
- a replacement for statutory record-keeping obligations.
Clinics remain solely responsible for:
- complying with applicable healthcare laws;
- complying with professional regulations;
- obtaining patient consent where required;
- maintaining legally required records;
- complying with taxation requirements relating to invoices;
- complying with applicable privacy legislation;
- determining appropriate clinical treatment.
Piriyathu LLP does not practise dentistry or provide healthcare services.
29. No Fiduciary or Healthcare Relationship
Use of DentalMate does not create any doctor–patient relationship, healthcare provider relationship, fiduciary relationship or agency relationship between Piriyathu LLP and any Patient.
Piriyathu LLP provides software and related technical services only.
All healthcare decisions, diagnoses, prescriptions, treatment plans, informed consent, referrals and other clinical activities remain the sole responsibility of the relevant Clinic and its authorised healthcare professionals.
30. No Emergency Use
DentalMate is designed as a clinic management platform.
It is not intended for emergency medical services, emergency communications, or time-critical clinical decision-making.
Clinics should maintain appropriate contingency procedures and should not rely solely upon DentalMate where service interruption or delay could adversely affect patient care.
31. No Sale of Personal Information
Piriyathu LLP does not sell Personal Information or Patient Information.
We do not sell Customer Information to advertisers, data brokers or other third parties.
We do not permit third parties to use Patient Information to train general-purpose artificial intelligence models.
32. Changes to this Privacy Policy
Piriyathu LLP may revise this Privacy Policy from time to time.
Reasons for updating this Privacy Policy may include:
- changes in applicable law;
- introduction of new features;
- changes to infrastructure;
- changes to service providers;
- improvements to security practices;
- operational changes.
Where changes are material, we will take reasonable steps to notify Clinics through one or more appropriate channels, which may include:
- notifications within DentalMate;
- email communications;
- publication on our website.
The "Last Updated" date at the beginning of this Privacy Policy indicates the date of the latest revision.
Continued use of DentalMate after changes become effective constitutes acceptance of the revised Privacy Policy, to the extent permitted by applicable law.
